Associate, Fund Development & External Affairs

The Associate, Fund Development and External Affairs is an integral part of the Elevate’s External Affairs Division, supporting the administrative and coordination needs of the Development team, which sits within the External Affairs Division, and aiding the broader needs of the External Affairs Division by providing coordination and administrative support related to cross divisional needs. This position’s time will be divided 1/3 External Affairs Division and 2/3 Development Team. Other teams in the External Affairs Division include Policy and Research and Innovation.

The ideal candidate for this role can work independently, is responsive, has impeccable follow-through, and a keen eye for detail. The ideal candidate can efficiently multi-task, likes administrative and coordination tasks, and brings joy to their work

The Associate, Fund Development and External Affairs reports directly to the Senior Director, Philanthropy and works in close collaboration with the Senior Associate, Development, other members of the Development Team, and the Chief External Affairs Officer. This position is headquartered in Chicago, Illinois, and is currently fully remote.

External Affairs Division and Fund Development Team Responsibilities

  • Meetings and events administration and logistics including but not limited to supporting the development of event budgets, maintaining and managing invitee lists, sending and tracking RSVPs, supporting the design and implementation of event platforms, researching venues, ordering and coordinating food and refreshments, note taking and virtual and/or hybrid meetings platform support such as ZOOM, TEAMS or other similar software.

Fund Development Team Responsibilities

  • Support the performance of quality control reviews of proposal response data in Elevate’s Customer Relationship Management software for internal reporting purposes.
  • Enter funding opportunities in Salesforce, including updates on a timely manner as opportunities move from one stage to the next.
  • Help maintain the Development team file structure and proposal library in Microsoft SharePoint and OneNote.
  • Support tracking deadlines of funder reports, ensure all appropriate Elevators are informed and have instructions for reports submission.
  • Track RFP, NOFO and other submissions deadlines and support teams to stay on track towards submission.
  • Support funder research to identify potential funding opportunities.
  • Help design and implement processes for proposal and application development kick-off meetings to support meeting submission timelines.
  • Help maintain funder portals, and support the submission of foundation and corporate proposals, federal and other government applications, funder reports.
  • Perform other duties as assigned.

External Affairs Division Responsibilities

  • Support the development and implementation of systems to advance cross Divisional functions.
  • Collect and collate cross team inputs into various documents such as Board, annual and funder reports, etc.
  • Develop and maintain a SharePoint site for the External Affairs Division.
  • Develop and/or manage a system for cross Divisional communications – email, TEAMS.
  • Schedule and coordinate meetings.
  • Perform other duties as assigned.

Qualifications and Skills

  • A minimum of two (2) years of relevant work experience required that includes: 
  • Understands the value of and enjoys administrative and coordination work.
  • Data management and report generation in Salesforce or similar CRM system
  • Excellent verbal and written communication skills
  • Self-motivated and able to work independently
  • Excellent organizational skills and attention to detail. Ability to help develop and establish team processes and routines preferred
  • Excellent time management skills with the proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Demonstrates professional maturity and the capacity to maintain confidentiality requirements of Elevate and various funders
  • Proficient with Microsoft Office Suite, ZOOM, electronic survey tools.
  • The ability to travel up to 15% of the time is required.

Compensation

The total compensation for this position includes health and welfare benefits (medical, dental, vision, etc.), defined contribution benefit (401k with contribution), professional development, generous paid time off policies, and a flexible schedule. This is an exempt individual contributor position with a salary range of $55,000 – $65,000, based on experience.
